Document Management Product- iMX

enhancements to FileNet document imaging products

iMX provides a set of extensions to FileNET document imaging services. These extensions have all been developed based on customers' needs and reflect a comprehensive set of enhancements across several functional areas including:

  • Administration
  • Categorization and taxonomy
  • Security (mid-tier web and single sign-on)
  • Viewing and editing
  • Document publishing and transfer
  • Collaboration
  • Ad-hoc workflows

We realize that many customers are already using FileNet's document imaging services in a production environment and are only interested in solutions that add value without causing disruptions. iMX is 100% complimentary to an existing FileNet system. It is non-intrusive to customer's production environment and does not require any modifications to the customer's production servers configurations. It includes functionality that goes outside of a baseline document management system- bridging the gap between technology and applications. Additionally, iMX not only reflects application-level enhancements, it includes features that take into consideration issues related to the management and roll out of applications over the web.

Customers may choose one or more of our enhancements depending on their short and long- term needs. Here is a brief summary and description of enhancements available through iMX:

Improved Document Categorization

>> Support for very granular, user-friendly and flexible organization and categorization of documents. In addition to using FileNet Document classes, customers would be able to easily create document categories and define document types within each category. This allows for a more natural, user-friendly and hierarchical organization of documents. It makes it "a lot easier" for users to find the information they are looking for with fewer clicks. Having used this scheme in several projects, we clearly recognize the power and flexibility of being able to "logically" group documents by category and type. Going forward, the customer can rearrange and reorganize, if needed, without having to be concerned about the database fields.
For existing FileNet customers, they
can map any combination of FileNet DocClass and Index fields (even of different values) to a new category/type for ease-of referencing and improved web security (see mid-tier web security below).


Personalized Searches

>> Allow power users to create and publish search templates for their groups. This delegates the task of creating and managing searches to department/group representatives who are most familiar with their use-cases. Our experience shows us that each group of users generally need a limited (pre-configured) set of searches that are specific to them and prefer running these so-called stored searches that are "single click" access to "their" documents.


Roles-based Access
>> Overcome the file and document-centric limitations of using Access Control Lists for working with a document management system. Using roles-based access, you can easily configure scenarios for accessing documents and configure what functions will be used by each different types of users. Users are only presented with relevant documents as well as functions they can perform based on their roles.

Mid-tier web security
>> While FileNet provides a very tight security system for accessing documents, customers are always concerned about having outside people "access" and execute searches across the entire document management system . We have developed a mid-tier web security that will allow for creation and management of web users and groups.  As part of our mid-tier web security, we can configure the web access to FileNet system so subsets of documents within the repository are accessible to "web groups". Each web group is only authorized to access documents based on a set of predefined rules (document class and index value combinations, categories and types, etc.). For ease of administration and lower cost of ownership, we also provide "delegated admin" function to allow external administrators add and remove, users within their groups, without needing access to the FileNet security system.

eFolders

>> Create "logical" folders for related documents (loan packages, cases, customer & partners, etc.).  Link eFolder properties to external databases or systems of records (legacy, CRM, ERP). Use folder "templates" to manage what information needs to be included and tracked as part of this type of eFolder- i.e., external data, document types, document checklist, workflows, milestones).


Lifecycle management

>> Customers using FileNet Imaging Services can track multiple versions of a document through check-in/check-out functions. Users can Check-out and check-in multiple documents simultaneously.


Document Publishing
>> Convert documents from any formats (Word, Excel, etc.) to web-friendly formats (PDF, TIFF) and store the output to the web/ftp server.

PDF Forms
>> Create PDF-based web forms and manage them in the library. Create intelligent data entry validation rules to make sure PDF forms are populated correctly before they are submitted for review and processing.

Reporting
>> View history of a document (access, modification, notes, etc.) by users/group or events. Improve security through real-time reporting of events. Meet regulatory requirements and better track usage.
